Communication Terms

These Communication Terms describe how the orthodontic practice identified on your intake form uses OrthoEHR to contact you via SMS text message and what rights you have as a recipient.
1. Who Is Contacting You
Messages are sent by the orthodontic practice identified on your intake form through OrthoEHR, a practice management platform. OrthoEHR provides the technology; your practice is the sender. The name and contact information of your specific practice will be included in or associated with any communications you receive.
2. Types of Messages You May Receive
By consenting, you agree to receive automated SMS text messages related to your orthodontic care, including:
- Appointment reminders and confirmations
- Appointment scheduling notifications
- Balance or payment reminders
- Practice announcements relevant to your care
Message frequency varies based on your appointment schedule — typically 1 to 3 messages per appointment. You will not receive promotional or marketing messages unrelated to your care.
3. Your Mobile Information
Your mobile phone number and related information will not be sold or shared with third parties for promotional or marketing purposes.
Your contact information is used solely to send you communications related to your care at your orthodontic practice. It is not used for advertising, sold to data brokers, or shared with any party for purposes unrelated to your treatment.
4. Message & Data Rates
Message and data rates may apply depending on your wireless carrier plan. OrthoEHR and your practice are not responsible for any charges applied by your carrier. Contact your wireless carrier if you have questions about your plan.
5. How to Opt Out
You can opt out of SMS communications at any time by replying STOP to any message you receive. After opting out, you will receive a single confirmation message and no further texts will be sent. To re-enable messages, reply START or contact your practice directly.
Opting out of SMS does not affect your relationship with your practice or your care in any way.
6. How to Get Help

7. Privacy & Data Handling
Your personal and health information is handled in accordance with HIPAA and applicable privacy law. Specifically:
- Your information is stored securely with encryption at rest and in transit.
- Access to your records is restricted to authorized staff at your practice.
- SMS messages are delivered through Telnyx, a HIPAA-eligible communications provider. Message content is limited to non-sensitive scheduling and care coordination information.
- Your data is never used to train AI models or sold to any third party.

8. Consent
By checking the consent box on your practice's intake form, you agree to these Communication Terms and consent to receive customer care SMS messages at the phone number you provided. Consent is not a condition of receiving orthodontic care.
9. Changes to These Terms
We may update these Communication Terms from time to time. Material changes will be communicated through your practice or posted on this page with an updated date. Continued consent after changes constitutes acceptance of the updated terms.
